The booking board checks the aircraft, the duty limits and every licence and medical against the lesson date, and says exactly which check failed. Training records carry what KCAA asks a school to keep, signed by the instructor and acknowledged by the student.
What gets in the way.
The syllabus lives in a folder
KCAA numbers the practical exercises 1 to 20. A spreadsheet cannot tell you who still owes exercise 17.
Records that would not survive an audit
Each lesson should record the exercise, the standard reached, the running hours and the instructor's assessment — most schools keep about half of that.
Hours that never reach the invoice
The flight is flown and signed, and the billing is rebuilt later from memory.

Airworthiness, duty limits and licences checked against the lesson date. An organisation admin can override, and the reason stays on the booking.
Training records to KCAA exercises 1–20
The exercise, the standard reached, the hours and the instructor's assessment. The instructor signs; the student acknowledges their own debrief.
Students and courses
A course keeps the syllabus the student enrolled on. Guardian consent for minors is enforced by the database.
A fees ledger from signed flights
Charges come from signed block time at the rate the student contracted. Mistakes are reversed, never edited away.
What is not built yet.
So there are no surprises when you see it.
- Online payment of fees is not switched on yet: the ledger records what is owed and paid.
Questions we are asked.
- Do we need CAMO to use ATO?
- No. A school can take ATO on its own. If the school also keeps its aircraft's maintenance in WingsPath, the booking board checks that too.
- Which syllabus does it follow?
- KCAA's practical exercises 1 to 20, as KCAA's own advisory material sets them out.
- Can an instructor sign for the student?
- No. The student acknowledges their own debrief, from their own account. That is what makes the signature evidence.
- What if a student moves school?
- They leave with a certified transfer bundle of their training record.
